The Akilah Institute for Women is a higher learning institution in East Africa offering a unique model of market-relevant education that enables young women to achieve economic independence and obtain leadership roles in the workplace and in society. Akilah brings together the most promising female leaders from Rwanda and the surrounding region for an innovative diploma program. Our hands-on and project-based curriculum is developed in partnership with the local private sector. Students choose a specialized track in Entrepreneurship (ENT), Information Systems (IS), or Hospitality Management (HM). Akilah students graduate with the market-relevant skills required for meaningful employment in the fastest-growing sectors of the economy.

The Position: Akilah is seeking to hire an individual with strong attention to detail who will support the Deputy Director of Recruitment and Admissions in running all logistical operations for admissions written exams and interviews. In addition, the Admissions Intern will also support the team by meeting with applicants throughout the admissions process and providing important information regarding the application process, requirements to apply, required assessments, and payment. The Admissions Logistics Intern will be responsible for providing support to admissions during the whole application process for the 2017 intake. The position is based in Kigali at our campus in Kibagabaga.

Key Responsibilities:

  • Ensure that accurate communication has been delivered to applicants at all stages of the admissions process, as per the procedure set
  • Coordinate the exam and interview schedule by booking and arranging classrooms for assessments, contact and coordinate key Akilah staff members involved in implementing assessments in advance, print and prepare all materials required for assessments in advance
  • On the day of all assessments, set up the rooms with chairs, exams, pens/pencils, etc., and take attendance of all applicants in the tent. Ensure exam proctors and interviewers are prepared to implement assessments
  • Assist the team in accurately tracking and managing data required at each stage of the admissions process (e.g. attendance for assessments, communication made to each applicant, grades, payment, successful enrollment, etc.) and manage attendance sheets with comments
  • Support the DDRA in creating and maintaining the tuition fee payment system and follow-up
  • Assist in updating the admissions timeline and logistics procedures for future use
  • Maintain and further develop the structure or format of the database/s as required, incorporating suggestions and amendments
  • Elaborate reports as specified and requested by supervisor

Skills and Qualifications

  • Bachelor’s degree
  • Strong skills in using Microsoft Excel and Word
  • Strong attention to detail, critical-thinking and problem-solving skills are a must
  • Demonstrated interest in women’s empowerment and education
  • Experienced in handling data management and logistics
  • Demonstrates maturity and professionalism in handling sensitive and confidential information both during and after the employment period
  • Must have advanced proficiency in English and Kinyarwanda
  • Preferable but not required: Experience in implementing the admissions process
